Terms and Conditions

Exhibitors must agree to the following terms and conditions when exhibiting at Spring Harvest.

1. Agreement

Participation in the Spring Harvest exhibition is subject to the following Terms and Conditions, our Guide to Safeguarding and also the Spring Harvest Event Terms & Conditions including our Filming and Photography policies which you can read at springharvest.org/terms

Essential Christian reserves the right to terminate a booking if there is a failure to comply with any of these Terms and Conditions or if pre-event items are not provided in the requested timescales (detailed in our Guide for Exhibitors) or if reasonable instructions from Spring Harvest team or representatives during the event are not followed. In such circumstances no refund will be offered of either your exhibition booking or of any other expenses, for example Butlin’s accommodation, you may have incurred.

2.  An exhibition booking offers

  • Space in the exhibition. Bookings are for space only, we do not provide tables, chairs or any fittings.
  • Power to your allocated space.
  • Inclusion in a digital expression of the event programme.
  • 15% discount off the cost of one accommodation unit booked with Butlin’s or four Event Pass wristbands. (For those who have not had the accommodation discount we will consider up to four additional passes if your booking is 6m x 2m or larger, for the use of your team only, not family or friends).

With your Exhibition booking you consent to Essential Christian and agencies authorised by us to use or reproduce your image, and that of your stand, for publicity purposes in the UK and abroad.

3. Application

Applications are an 'offer to exhibit' and Essential Christian reserves the right to accept or decline. A team from Essential Christian meet regularly to review applications, they may ask you for more details before making a decision and we will let you know the result of your application. Once the exhibition is full applications will be added to a wait list in case of cancellations.

Essential Christian will design the exhibition layout and reserves the right to revise it at the event if necessary. For this reason we cannot and do not make any commitments regarding the location of your space in our exhibition.

Spring Harvest (the event) subscribes to the Evangelical Alliance Basis of Faith and the Lausanne Covenant. Essential Christian expects all exhibitors to respect the aims, objectives, and ethos of Spring Harvest.

4. Payment, confirmation and cancellation

A non-refundable deposit of 25% of the exhibition cost will be due fifteen days after your application is accepted. Your booking will be confirmed on payment of your deposit.

The balance is due on or before Friday 30 January 2026. Essential Christian reserve the right to cancel the agreement and retain the deposit if final payment is not received by that date.

If you cancel your booking for any reason after 30 January 2026 no refund will be offered.

Prices are shown net of VAT and VAT at the prevailing rate will be added to the cost of your space.

Subject to availability, a 10% discount will be offered to registered charities whose annual income in the past tax year is less than £500,000. The discount will only apply to the first 2m x 2m of your booking.

5. Your responsibility

Exhibitors are responsible for providing tables, cloths, backdrops and display boards all of which must be of professional standard.

Organisations must complete in advance an acceptable Risk Assessment for the safe assembly and dismantling of their stand and all activities that will take place. Essential Christian reserves the right to alter or to close a stand which in their reasonable opinion is unsafe. Essential Christian cannot accept any liability in this respect.

Organisations are required to provide, in advance, a copy of their Public Liability Insurance Certificate showing a minimum Indemnity Limit of £5,000,000 in respect of any one event. Employers Liability Insurance is not sufficient.

Spring Harvest cannot be held responsible for any damage or theft of any equipment or stock owned by, hired or loaned to you so we request that exhibitors consider arranging all-risks insurance for those items whilst on site. This provision is a requirement if you are a retail stand.

If your exhibit is interactive and designed to engage children or vulnerable adults who may be unaccompanied by a parent or guardian at any time, your supervising team must be in possession of an Enhanced DBS Certificate. You are required to provide written confirmation that this is in place.

6. Your Team

The names of all team members must be provided in advance.

Your team leader is responsible for the behaviour, management and wellbeing of their team and your organisation’s reputation. We expect all your team to behave in a respectful and appropriate way to all Spring Harvest guests, team and volunteers, and adhere immediately to any requests or instructions given by the Exhibition Manager or other Essential Christian staff.

You will be responsible for ensuring that all your staff are fit to work and are not displaying any symptoms of illness which could be contagious.

You must ensure that overseas volunteers or workers hold the correct visa. Essential Christian cannot take responsibility for sponsoring their entry or confirming their eligibility.

7. Stand space and activities

Unless Essential Christian have granted prior written authorisation, you may not do any of the following:

  • Have available on the stand anything that might be considered a hygiene risk, e.g. unwrapped sweets.
  • Sell products that are available for sale in the Spring Harvest Bookshop or the Spring Harvest Stand.
  • Conduct any activities or business outside the confines of your exhibition space or stand area.
  • Offer persistent or unsolicited promotion of your services, activities or products directly to guests or team within or outside your exhibition area.
  • Make or arrange any public announcements with a microphone.
  • Make or arrange signposting.
  • Publicise special appearances.
  • Sell, assign, rent, transfer, trade or share any part of the Spring Harvest exhibition package.

Also note:

  • Butlin’s have exclusive rights to the sale of food and drink and these items should not be sold or given away from your stand.
  • Surveys or questionnaires must be approved by Essential Christian in writing prior to arrival.
  • All articles, goods, advertisements, signs and any other material exhibited must comply with the law and be free from any offensive or defamatory images, words or statements. They must not infringe copyright, trademark, design, patent, or other intellectual property right and must conform to any statutory provisions or regulations. Essential Christian reserves the right to ask you to remove immediately from your stand anything that we deem inappropriate or unsuitable or which may cause offence to guests or team. Please insure against any cost, claims, or demands in relation to Essential Christian making this request.
  • The sale of combustible products or materials is prohibited.

Exhibitors are responsible for the safety, delivery, assembly, staffing, dismantling and removal of their stand and any materials allocated to their space. Essential Christian reserves the right to charge for the removal of any materials left by an exhibitor and for any cleaning required as a result of an exhibitor’s activity.

8. Amendment of terms and conditions

Essential Christian reserves the right to amend these terms and conditions at any time. All amendments shall be binding on the exhibitor with the provision that the exhibitor is advised of any such amendment. Any matters not specifically covered herein are subject to decision by Essential Christian.

If we have made a prior agreement in writing, for example a Partnership Agreement, then the arrangements stated therein, should they deviate from the terms stated here, will stand.

9. Dispute

In all matters of dispute, you should email the Exhibition Manager at exhibit@springharvest.org setting out the circumstances in full. Your complaint will be carefully considered, and you will receive a written decision. If you are dissatisfied with this response you should refer the matter to the Chartered Institute of Arbitrators for mediation or arbitration.

10. Governing Law and Jurisdiction

This agreement and any disputes arising out of or in connection with its subject matter are governed and construed in accordance with the law of England. The parties to the agreement hereby irrevocably agree that the Courts of England have exclusive jurisdiction to settle any dispute or claim that arises out of, or in connection, with this agreement.
